Who should sign for the business?
PennDOT requires an authorized individual or proper proof of authorization when a vehicle is owned by a business. Give the processing agent the entity name and proposed signer’s role before collection. Ask what evidence establishes authority for that organization and transaction.
What documents should the business prepare?
Gather the title or certificate, VIN, any lender information and the agent’s requested authorization evidence. Check that the owner name is the business rather than a director, employee or leasing company. A leased vehicle requires attention to the owner’s authority; do not treat it as a company asset merely because the company uses it.
How should payment and handover be recorded?
Agree the purchasing entity, recipient of payment and person releasing the car. Keep the sale record in the business’s records, including the VIN, amount and date. Resolve lender or facility-release restrictions before booking a truck.
What if an outside representative handles the sale?
Have the agent review the representative’s authority before any document is signed. Use the power-of-attorney guidance when appropriate. A business authorization and the vehicle’s required ownership transfer are separate parts of the transaction.
