Which name belongs on the sale record?
Start with the legal owner shown on the vehicle’s ownership document. A company vehicle should not be described as the employee’s personal property merely because that employee drives it. Compare the VIN, business name and lender information before agreeing the sale.
Which business records should I check?
DMV’s title and registration instructions identify corporation records and separate partnership or assumed-name documents. They direct LLCs and other non-corporate organizations to DMV for acceptable proofs. Those application rules are not a universal sale checklist; confirm the documents needed for this ownership record and signer.
What if an employee will meet the driver?
Arrange signing authority before collection. Give the buyer the business contact, the authorized signer’s role and any power of attorney being used. A collection appointment does not establish that an employee can transfer company property.
What should the business retain?
Retain the completed sale record, payment evidence and copies of ownership and authorization documents. Ask the person managing the company’s vehicle records to handle plate, insurance and fleet-record changes. Resolve a loan or lease with its holder before selling.
